Accessing the Departmental Policies and Guidelines:
Access to Departmental Policies and Guidelines
Step 1: Log in using your valid CAS account credentials.
Step 2: Enable Two-Factor Authentication (2FA) for enhanced security.
Step 3: Search for policies using advanced search options (e.g., Department, Category, Policy ID, Language).
Step 4: For first-time users, refer to the Guidelines(p.4-12) for detailed instructions.
Importing new policies and guidelines:
For Users:
Step 1: Contact your department system administrator to discuss the importation of new policies.
Step 2: Prepare documents (preferably in PDF, Word, or PPT format) for ECM or provide hyperlinks to relevant policy information on the HKUST Official Website.
Step 3: Submit the documents to your department heads for approval.
Step 4: Once approved, the system administrator will import the documents using the ECM.
For IDLP/ Delegation Person of the department system administrator:
Step 1: Prepare the ECM DocPop Link of the document. Refer to the Guidelines(p.13-18) for instructions on how to import documents and retrieve the DocPop Link or provide the hyperlinks to relevant policy information on the HKUST Official Website.
Step 2: Go to the Departmental Policies and Guidelines and Log in using your valid CAS account credentials.
Step 3: Follow the Guidelines/FAQ (p.20-21) for adding new policy information to the system.
If you do not have editing rights for the maintenance system policy record, please seek approval from your department heads. Once approved, email cchelp@ust.hk with your HKUST account, department information, and the relevant sub-category to request editing rights.
