The Attendance Taking System (ATS) is an integrated solution launched in January 2025. This. ATS is designed to accurately track and manage class attendance records for HKUST-related members across the campus.
By presenting the HKUST QR Code or physical HKUST Card on the ATS hand-held device, the system has the capability to validate check-in users and confirm their presence on the pre-loaded class enrollment list, ensuring data security and integrity.
Additionally, the system provides class owners with the following options:
- Auto-accept all walk-in users or
- Require on-site approval before adding users to the attendance list
This streamlines the check-in and check-out process and facilitates comprehensive attendance tracking. The system also features a user-friendly web-based dashboard that enables users to retrieve and view all attendance records, with the ability to filter the results based on criteria such as attendance mode and date range.
For future enhancements, the ATS is designed to be scalable and includes real-time data synchronization, as well as integration with other HKUST systems via API technology.

A: Requests to use the ATS must be initiated by the departmental IDLP or administrative staff at the program office level. To borrow the ATS handheld device, please submit the loan form found in the "Getting Started" section above.
Q: What is the response time for a request?
A: You can expect the first reply to your request within next 3 working days. Please note that the availability of ATS handheld devices is limited, and usage is prioritized on a first-come, first-served basis by department. The final approval for borrowing the handheld device depends on availability.
Q: How do you use the ATS?
A: The initial setup of the ATS is managed by administrative staff at the departmental or program office level. You can find the usage guidelines for the ATS web-based application and ATS Handheld Device in the "Getting Started" section above.
Q. How many ATS handheld device can be borrowed?
A: Please note that the availability of ATS handheld devices is limited, and usage is prioritized on a first-come, first-served basis by department. Each department or program office is allowed to request only ONE ATS handheld device per request.
Q: What is the borrowing period for the ATS handheld device?
A: To ensure equitable access, each department allows to borrow devices for a maximum period of 7-days at a time, after which they must be returned to the ITSO.
Q: What type of attendance records can be taken using the ATS?
A: The system currently supports attendance recording exclusively for HKUST CWB staff and students; other user types are not included.
Q: Is it possible to export reports after using the ATS?
A: Yes, the system enables administrators at the departmental or program office level to download attendance reports for their records.
Q: What should I consider before applying the ATS?
A: Before applying the ATS, the administrative staff at the departmental or program office level should evaluate their current processes and ensure a continuous plan is in place, especially if the ATS is temporarily out of service.
